Pre-registration and Registration instructions
General Information
Pre-registration applications are submitted by students in order to obtain a spot on a PhD programme at the UIB.
Firstly, the application shall determine whether students meet the entry requirements for admission to a PhD programme. After this, the relevant Academic Committee for the Programme assesses applications from candidates who meet the entry requirements and allocates available spots.
In accordance with the programme's verified report, admission may be conditional to:
- Additional requirements and criteria
- Required prior specific training in certain areas. For further information, please see the 'Entry and Admission Requirements' section included in the Factsheet on the specific programme website
- Endorsement of a researcher as a potential supervisor
- Required specific supplementary training*, in accordance with the student's entry profile.
* This training must be completed in the initial thesis development period within one academic year.
Requirements for Participation
All individuals who meet one of the following entry requirements (or who can accredit them within the relevant amendment period) may pre-register:
- Holding an official Spanish undergraduate degree, or equivalent, and a master's degree1, or equivalent, as long as they have passed at least 300 ECTS credits from both programmes
- Holding an official Spanish university qualification or equivalent, as long as they have passed at least 300 ECTS credits from the programme, which is accredited as a level three (3) programme in the Spanish Qualifications Framework for Higher Education
- Holding a qualification awarded by an overseas institution within the European Higher Education Area (EHEA), without being required to validate it, which is accredited as a level seven (7) programme in the European Qualifications Framework, provided it grants entry to PhD programmes in the country of issuance. Admission in no way represents validation of the qualification in question nor recognition for any other purpose than admission to the PhD programme
- Holding an overseas qualification issued from an institution outside the EHEA, without being required to validate it. The UIB will verify that the qualification accredits the individual as holding a training level equivalent to an official Spanish master's degree and enables admission to PhD programmes in the country of issuance. Admission in no way represents validation of the qualification in question nor recognition for any other purpose than admission to the PhD programme
- Holding a PhD2
- Having previously obtained a place via the corresponding entry test on specialised health training and having passed at least two years of training with a positive assessment on a programme leading to an official title in any health sciences specialisation
- Being a graduate, architect or engineer and holding a Diploma of Advanced Studies awarded in accordance with what is set out in Royal Decree 778/1998 of 30th April that governs Third Cycle University Programmes, the Award and Issuance of PhD Qualifications and Other Postgraduate Programmes, or having fulfilled the research aptitude requirement governed by Royal Decree 185/1985 of 23rd January that governs Third Cycle University Programmes, the Award and Issuance of PhD Qualifications and Other Postgraduate Programmes.
1 Students on master's programmes who have not yet completed their programme, but are expected to be awarded their master's degree before the end of the deadline for amendments to pre-register for the requested PhD programme, may fill in the pre-registration form and even click on 'Formalise Application'. Nevertheless, the application will remain conditional on students completing their master's programme and paying for their degree certificate to be issued before the end of the amendment period for each programme. They will need to attach their official certificate and transcript once the UIB notifies them about the relevant amendments. The deadline to provide these documents ends after the set period on each PhD programme to submit amendments.
2 Where candidates have one or more PhD qualifications awarded within the Spanish higher education system or from overseas, they will need to submit the required documents and state their PhD qualifications, as well as an electronic copy of their thesis or theses (or a link to access the full thesis on an open-access repository) so that the relevant Academic Committee for the Programme may assess their admission, taking into consideration best practice in academic integrity and incompatibility between different PhD programmes. The committees will be responsible for ensuring there is no overlap between the research and training goals for the new thesis project and candidates' previous theses. Doctorands and supervisors shall be responsible for ensuring no overlaps occur throughout the PhD programme. In no way may doctorands have the same supervisor for different PhD theses.
Available and Reserved Spots
Available Spots
All PhD programmes have limited available spots they may offer, in accordance with the verified report for the programme provided it has been approved by the relevant assessment agency.
The number of spots may be raised as long as the extra spots are taken by students who have been awarded a pre-doctoral contract or full-time grant in a competitive call, or by students subject to international joint supervision agreements who are enrolled at one of the agreement's partner universities and have been accepted by the relevant UIB Academic Committee for the Programme. This means students may be admitted and enrolled at any time throughout the academic year in accordance with the resolution dates for the pre-doctoral contract or grant call, or as per what is set out in the international joint supervision agreement.
Reserved Spots
With a view to ensuring equal opportunities, all PhD programmes reserve at least 5% of available spots for students with an accredited disability level equal to or above 33%. In turn, these spots are also open to students with permanent educational support needs linked to personal disability circumstances who required specific resources and support during their previous studies in order to ensure their full educational inclusion, in accordance with Regulatory Agreement 12052/2016 of 7th November that approves Reserved Spots for Students with Disabilities on UIB Master's and PhD Programmes.

Format
- Attached documents must be clear and preferably in .pdf format. They must either be original copies with a digital signature and secure verification code, or scanned copies
- All documents must be legible, complete and in the correct order (both sides or all pages)
- Each document must be attached to the relevant field on the application form.
Where applicants attach scanned copies, they must submit all original documents within the set deadline. Failure to do this will lead to enrolment being subject to submitting these documents. Moreover, no academic transcripts or degree certificates will be issued.
When and Where
Each document must be attached to the application form in the relevant field within the pre-registration and, where applicable, amendments deadline. Where scanned copies of the entry and admission documents have been attached to the pre-registration application, the original documents must be submitted during the enrolment period or by 31st January at the latest.
General Entry Documents
- DNI, NIE or passport (current)
- Entry qualification(s)
- Degree certificate1 (both sides) or a document listing the official Spanish university qualifications issued by the Ministry of Education including a SVC2 , or the validation credential or statement of equivalence
- Degree certificate or diploma issued by the overseas university in Spanish, Catalan, English, French, Italian or Portuguese. Please see the information regarding equivalency assessment, and document legalisation and translation.
- Personal academic transcript:
- Personal academic transcript1, issued by the relevant university and including the average mark in the academic record
- Official academic transcript issued by the overseas university in Spanish, Catalan, English, French, Italian or Portuguese, as well as the equivalence document and corresponding average mark obtained from the Average Grade Equivalence Service. - Where applicable, the European Diploma Supplement (DS)1, where the qualification is from an EHEA university, or a document issued by the university awarding the qualification to accredit that it is equivalent to Level 7 in the European Qualifications Framework and grants admission to PhD programmes in the country of issuance
- CV.
1Applicants do not need to submit these documents if the programmes were taken at the UIB.
2This document (example) can be obtained for authorisation purposes on the Ministry of Education website. When generating the document, it is important the request date is at least within the same academic year you are applying for in order to be able to verify the documents.
Specific Admission Documents
- CV and contact details (e-mail and phone number) of the proposed supervisors and referees not affiliated with the UIB
- Endorsement for the proposed thesis supervisor, where applicable

Documents for Spots Reserved for Persons with Disabilities
Applicants wishing to apply for spots reserved for persons with disabilities with a disability level equal to or above 33% must attach their disability level certificate or accreditation:
- Resolution or certificate issued by the regional social security head office at the Government of the Balearic Islands
- Resolution or certificate issued by the Institute of Social Services and the Elderly (IMSERSO)
- Resolution issued by the National Social Security Institute (INSS) accrediting benefit holder status due to total or absolute incapacity, or severe disability
- Resolution issued by the Ministry of Economy and Finance, or the Ministry of Defence accrediting a retirement pension due to permanent incapacity or being unfit for duty.
Part-time PhD Students
Candidates may request part-time status on their pre-registration application where there are justified circumstances:
- Due to work reasons, preferably where candidates have fixed, stable employment. Contracts lasting under three (3) months will not be considered for granting part-time status
- Serious family or personal circumstances, including care responsibilities for dependents, the elderly or disabled children, having a large family with school-age children or being victims of gender-based violence
- Other circumstances deemed applicable by the relevant academic committee.
The maximum length of part-time PhD programmes is seven (7) years. Nevertheless, where permission is granted to students to change from full- to part-time status (or vice versa), the remaining programme length will be calculated on a pro-rate basis.
Amendments
The Doctoral School (EDUIB) will review all duly formalised pre-registration applications. Where they contain any formal or content mistakes, the EDUIB will send an e-mail out to students requesting they amend their application within the stated deadline.
Moreover, when the PhD pre-registration deadline has passed, the Doctoral School will publish the list of students with amendments to be rectified and the final deadline to do so.
Applications for specific enrolment status that remain pending rectification after the deadline will be rejected.
Pre-registration applications that remain pending rectification after the deadline will not be considered for admission.
PhD Programme Admission
IMPORTANT
- The entry and admission procedures are required and necessary for registration on PhD programmes.
- Admission is not registration.
Non-registered students are not covered by any school insurance policy. Please bear this information in mind when using University of the Balearic Islands facilities.

Admission to PhD Programmes
After verifying candidates fulfil the conditions for entry to the PhD programme, the Doctoral School will forward applications to the relevant academic committee to assess and decide on admission.
The admission requirements and criteria for each PhD programme are set out in the verification reports for each programme. They may be viewed in the 'Entry and Admission Criteria' section in the 'Factsheet' tab for each PhD programme.
Publication of Admitted Candidate Lists
The Doctoral School will publish the provisional list of admitted candidates, the definitive list and, where applicable, the waiting list within the set deadlines for each call, in accordance with the resolution issued by the relevant body for each programme.
Admitted students have a specific enrolment deadline on Acadèmic. Failure to do so will lead to candidates forfeiting the right to enrol or re-apply in the PhD programme for the same academic year (where they had already been admitted).
The admission lists may include wait-listed students. These lists will be used where there are still available spots after the enrolment period ends.
Wait-listed students who are eventually admitted will be notified and they will need to enrol within the set deadline period. Failure to do so will lead to candidates forfeiting the right to enrol or re-apply in the PhD programme for the same academic year (where they had already been admitted).
Admission lists may include students who have not been admitted, as applicable.
Admission Appeals
Where applicable, applicants who are not admitted may lodge an appeal with the EDUIB management team by clicking on the relevant button on the Postgrau Platform. The EDUIB management team will request whatever reports they deem necessary in order to resolve any appeals.
Letter of Admission for Visas
Admitted students who require an official letter of admission issued by the UIB in order to apply for a student visa at the Spanish embassy or consulate in their home country, or for any other procedure linked to taking programmes at the UIB, may request one by sending an e-mail to the following address: doctoratuib.es>. They must specify the information they require to be included in the letter of admission.

Instructions for Registration
You need to formalise your registration for the academic year within the set deadline (via the link) and following the instructions specified in an e-mail you will receive with the subject line 'Registration procedure'. We kindly remind you that registering within this deadline is essential in order to guarantee your place and access cross-cutting and specific training linked to the PhD programme.
Documentation to Submit
Please bear in mind that:
Where your admission qualification is not from the UIB, you will need to submit the original document or a duly certified copy before 31st January to the administration services either in the Antoni Maria Alcover i Sureda building, or at the university headquarters in Minorca or Ibiza and Formentera, or by registered post.
The only certification valid for these purposes shall be that issued by a registered Spanish notary public or by delegations of provincial governments. In turn, certifications issued by home universities shall be accepted as long as they include the fee payment receipt.
- ID, NIE or passport
- If the qualifications are from the UIB, you do not need to submit the following documentation:
Original admission qualifications, certificate (or receipt of having requested it) and original official academic transcript.- If the documentation is submitted in person at the UIB, you must bring the original and a copy of the documents.
- If you cannot submit the documentation in person, you must send the certified documentation. The only certification valid for these purposes shall be that issued by a registered Spanish notary public or by delegations of provincial governments. In turn, certifications issued by home universities shall be accepted as long as they include the fee payment receipt.
- Students benefitting from registration fee discounts or exemptions must submit the corresponding original accreditation documents and copies thereof to the administration services of the EDUIB (large family card, disability level certificate issued by the relevant body, grantholder credentials, etc.).
- Students have selected to pay by direct debit need to submit the SEPA authorisation form, duly filled-in and signed by the accountholder, to the porter's lodge in the Antoni Maria Alcover i Sureda building. No appointment is needed.
- If your admission qualification is from overseas and not validated, you need to follow the instructions at: Doctoral School - Pre-registration and registration - Students with foreign degrees.
- Appendices I and II must be submitted to the Doctoral School, duly filled in and signed.
Ongoing Registration
PhD students need to formalise their ongoing registration every academic year within the set deadline.
Ongoing registration is done over Acadèmic, except for returning PhD students who first enrolled on the programme before the 2021-22 academic year, who must do it through UIBdigital > Formació (Training) > Matrícula (Enrolment) > Automatrícula (Self-enrolment)
No documentation is required for ongoing registration.
Where you have a renewal request pending resolution, you will need to wait until it is resolved. If the enrolment period has ended, you will need to contact the admin services at the following e-mail: <escoladedoctoratuib.es>.
