What is enrolment?

La matrícula és el contracte que el doctorand signa amb la Universitat per la tutela acadèmica i pels serveis administratius que rebrà durant l’any acadèmic. Aquest contracte implica pagar l'import corresponent a aquests serveis, sobre el qual es poden aplicar exempcions, bonificacions, beques, etc., en funció de les condicions acreditades.

El pagament d'aquest import dona dret a l'avaluació anual del progrés que fa el doctorand en relació amb el pla de recerca presentat i el document d'activitats.

Enrolment Terms and Conditions

In order to formalise your enrolment 2025-26, you must accept these terms and conditions.

Personal Data Processing and Transfer

You must select what type of data transfer you agree to, as well as other related terms and conditions regarding personal data processing, in order to formalise your enrolment.

With regard to data protection, please see the additional basic data protection information relating to student enrolment and academic records.

Certificate of Crimes of a Sexual Nature

Si us matriculau en un pograma de doctorat que sigui susceptible de contacte amb menors, es requerirà un certificat de delictes sexuals. En aquest cas, quan seleccioneu la tutela acadèmica, heu d’indicar si autoritzau la UIB a obtenir-lo o si us comprometeu a lliurar-lo.

Instructions to formalise PhD enrolment

You need to formalise your enrolment on a PhD programme through the "Acadèmic" app (the link is at the bottom of this page) within the set deadline. Failure to do so will lead to you losing your spot.

Steps for formalising enrolment

In Acadèmic, click on "Enrolment > Enrol" in the left-hand menu.
To move within the enrolment form, you must use the "Next" and "Back" buttons in the app. Do not use the buttons on your browser.

Review your personal details and accept the enrolment terms and conditions

In the personal details screen, you need to check that your information is correct, accept the enrolment terms and indicate the type of data transfer you are willing to authorise.

Fill in the statistical survey

Answer the questions asked for statistical purposes.

Select your tutoring subject

You only need to place a checkmarck for the tutoring subject for your first year.

Indicate the payment terms

State whether we need to apply any discount or grant. Please remember that you need to accredit the information you enter by submitting the corresponding documentation to admin services before 31st January of the current academic year.

You may also state whether you wish to pay by instalments and how many (from those available). Paying by instalments in only possible through direct debit and you must submit the signed SEPA mandate within the set deadline to the Doctoral School.

Confirm enrolment

The enrolment confirmation screen displays the summary of information that you have entered on each screen for you to accept and confirm enrolment.

You may review the accepted data processing and enrolment terms and conditions via "Acadèmic > My Profile > Data Processing".

Exemptions and Discounts

You may qualify for different tuition fee exemptions and discounts if you fulfil the required conditions. Certain conditions are already selected, whilst you may select others and accredit them later.

Please see the available exemptions and discounts and the documents to be submitted in each instance.

Failure to submit the required documentation to fulfil the conditions selected in your enrolment, within the set deadline, will lead to automatic reprocessing of your enrolment and non-discounted tuition fees being payable.

Payment Methods and Instalments

The following payment methods are available for self-enrolment: direct debit, payment slip and card payments.

Where direct debit payment is selected, you may either make a single payment for the full amount or select one of the different payment by instalment options, depending on when you enrol. Moreover, if this is the first time you have used your account to make a payment, you will need to submit the SEPA authorisation mandate, signed by the accountholder, within the set deadline. 

Please bear in mind that the first instalment always includes the admin service fees, in addition to the percentage share of the remaining fees, in accordance with the selected payment schedule. 

Payment by Instalments

The following payment by instalments options are available:

  • Enrolments formalised between 1st and 11th September can be split into:
    1. Two instalments: the first in September and the second in December, each for 50% of the total
    2. Four instalments: September, October, November and December, each for 25% of the total
  • Enrolments formalised between 12th and 30th September can be split into:
    1. Two instalments: the first in October and the second in December, each for 50% of the total
    2. Three instalments: October, November and December, for 40%, 30% and 30% of the total respectively
  • Enrolments formalised between 1st and 31st October can be split into two instalments: the first in November and the second in December, each for 50% of the total
  • Enrolments formalised from 1st November CANNOT be split into instalments.

Due dates shall be shown on each payment slip. Moreover, please bear in mind that payments will be processed between the 1st and 5th of the corresponding month, except for September which will be processed on the 12th.

Non-payment

Non-payment

Payment is due immediately after finalising enrolment. Failure to pay will mean you have an outstanding debt with the university and will be unable to carry out or request any procedure.

Total or partial non-payment will lead to a 5% surcharge on the outstanding amount. In this instance, a new deadline is set to pay the total amount. Failure to pay within this deadline will lead to temporary suspension of students' rights and, where applicable, cancellation of all academic services without any right to a refund. Moreover, the unpaid amount will remain outstanding and, until it is fully paid, students are not able to carry out or request any procedure at the university, e.g. the issuance of transcripts or degree certificates, arranging academic records be transferred, requesting any service at the university, applying for spots on other programmes, etc.

Payment of Pending Invoices

Payment of Pending Invoices

If you selected to pay by card during the enrolment procedure, you may make your payment via the Pending debit/credit card payments option in Acadèmic.

Outstanding invoices with other selected payment methods may be settled either by card or by printing out the corresponding payment slip from the Manage pending payments section in Acadèmic.

Submission Deadline for Documents

The document submission deadline is 2 pm on 30th January 2026.

What Happens if You Fail to Submit Your Documents

Where any fee exemption has been applied pending submission of documents and you fail to submit them within the deadline, this status will be automatically withdrawn and the full tuition fees will be due.

Failure to submit the pending original entry and admission documents accrediting the status you selected on your enrolment, as well as failure to accredit your ID, may lead to suspension of your academic rights. Moreover, you will not be able to continue your programme until the matter has been resolved. Where applicable, your enrolment will be automatically cancelled without any right to a refund.

Please bear in mind that you will not be able to request your academic transcript or degree certificate until you submit your original entry and admission documents.

Full or Partial Enrolment Cancellation

Si en posterioritat a la data de matrícula, us trobau en algun supòsit de causa de força major que facin impossible la continuació dels estudis l'any acadèmic en què us heu matriculat, podeu sol·licitar l'anul·lació de matrícula per registre electrònic i acreditant aquesta situació sobrevinguda.

Si la sol·licitud d'anul·lació es resol favorablement, el còmput de la permanència es paralitzarà des de la data en què s'hagi fet la sol·licitud fins al moment en què us torneu a reincorporar al programa. Aquesta reincorporació es pot produir en un termini màxim de dos anys, i es consumirà el temps del període de baixa temporal a disposició del doctorand, excepte per les causes indicades a les lletres a), b), c) i g) o situacions anàlogues a aquestes.
